Terms & Privacy

These policies apply specifically to Vera. For our broader privacy notice covering the booking platform and other AI services, see the DocMap Privacy Policy.

Section 1

Terms of Service

These terms govern your use of Vera, the DocMap health education assistant (“Vera” or “the Service”), operated by DocMap Ltd. They are separate from, and additional to, any terms governing the DocMap booking platform.

1. About the Service

Vera is a text-based educational assistant available in the DocMap patient portal. It provides cited, educational information about endometriosis drawn from vetted clinical sources. Vera is currently in evaluation and is accessible via the DocMap patient portal at /patient/vera when live chat is enabled.

Vera is a text-in, text-out service only. It does not use voice, telephone, WhatsApp, or video.

2. Acceptance of terms

By using Vera — including by reading the on-page disclaimer and submitting a question in the chat — you agree to these Terms of Service and the Vera section of our Privacy Policy. If you do not agree, please do not use the Service.

3. Description of the Service

Vera provides:

  • Educational Q&A: Answers to questions about endometriosis, symptoms, treatments, and related topics, with citations to vetted sources where available
  • Safety guidance: Red-flag escalation and emergency signposting when appropriate
  • Cite-or-abstain: Vera will abstain rather than guess when it cannot ground an answer in its approved corpus

4. Important medical disclaimers

Vera is NOT a medical service. Please read the following carefully:

  • Vera does not provide medical diagnoses, medical advice, or prescribing.
  • Vera does not replace the relationship between you and your healthcare provider.
  • Information provided is for general education only and may not apply to your individual circumstances.
  • Vera is in evaluation — responses may be incomplete or inaccurate.
  • If you are experiencing a medical emergency, call 999 immediately. For urgent but non-emergency concerns, call 111 or contact your GP. Do not use Vera for emergencies.

5. Eligibility

The Service is available to individuals aged 18 or over. We reserve the right to refuse or discontinue access at our discretion.

6. Your responsibilities

When using Vera, you agree to:

  • Not share unnecessary personal identifying details (such as your full name, address, NHS number, or date of birth) in chat messages
  • Not use the Service for emergency medical situations
  • Not use the Service for any unlawful purpose
  • Understand that responses are educational only and do not constitute medical advice

7. How the Service works

When you submit a question, your message is processed through DocMap infrastructure and a EU-hosted inference gateway to generate a grounded response. Chat sessions are ephemeral — they are held in memory for the duration of your session and cleared after idle timeout or when you end the session. Vera does not maintain a persistent chat history database.

8. Data protection

Full details are set out in the Vera privacy notice on this page and in our Privacy Policy. Key points:

  • Health-related questions you type are special category data under UK GDPR, processed on the basis of your consent
  • Inference is processed in the EU; hosting is in the UK/EU via our cloud providers
  • You may request access to, correction of, or deletion of data by emailing admin@docmap.co.uk

9. Limitation of liability

To the fullest extent permitted by law, the Service is provided “as is” and “as available” without warranties of any kind. We are not liable for any decisions you make based on information provided by Vera. Nothing in these terms excludes liability that cannot be excluded or limited by law.

10. Changes to these terms

We may update these Terms from time to time. Material changes will be communicated via a notice on our website. Continued use after changes constitutes acceptance of the updated terms.

11. Governing law and jurisdiction

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Privacy Notice

This privacy notice applies when you use Vera, the DocMap endometriosis education assistant in the patient portal. It supplements the DocMap Privacy Policy.

1. Who we are

DocMap Ltd (“DocMap”, “we”, “us”) is the data controller for Vera when you use it through the DocMap patient portal. Registered address: 16.01 Makers Building, 1 Jasper Walk, London, N1 7TW, United Kingdom. Data protection contact: admin@docmap.co.uk.

2. What data we process

Pseudonymous session identifiers

Used to maintain conversation context during your session

Health-related questions (special category data)

Free-text questions you type about endometriosis, symptoms, treatments, or related topics

Technical metadata

Timestamps, rate-limit counters, and error logs associated with your session

We ask you not to share unnecessary identifying details (such as your full name, address, NHS number, or date of birth) in chat messages. Vera does not process audio, voice recordings, or telephone data.

3. Purpose and lawful basis

  • Providing the education chat: Consent (Art. 6(1)(a)); explicit consent for health data (Art. 9(2)(a))
  • Service safety and quality monitoring: Legitimate interests (Art. 6(1)(f)) — limited to truncated observability traces
  • Legal compliance: Legal obligation (Art. 6(1)(c)) where applicable

Model weights are downloaded from a public model registry at container start-up. Patient chat content is not sent to the model registry.

5. Retention

  • Live chat sessions: Ephemeral — held in memory during your session and cleared after idle timeout or when you end the session. Vera does not store chat history in a persistent database.
  • AI observability traces: Typically up to 90 days, then deleted. Traces are truncated and do not include full session history.

6. International transfers

Primary inference is processed in the EU. Where data is transferred outside the UK, we rely on appropriate safeguards such as UK adequacy decisions, Standard Contractual Clauses, or equivalent mechanisms under UK GDPR.

7. Your rights

You have the rights set out in UK GDPR, including access, rectification, erasure, restriction, portability, and objection. To exercise your rights, email admin@docmap.co.uk. You may also lodge a complaint with the Information Commissioner's Office (ICO).

8. Automated decision-making

Vera uses AI to generate educational responses. It does not make fully automated decisions that produce legal or similarly significant effects. You are not required to accept AI-generated information and should always consult a qualified healthcare professional for clinical decisions.
