Practitioner Terms and Conditions

Introduction

Welcome to DocMap! These Terms and Conditions ("Terms") govern your use of our platform and services. By accessing or using DocMap, you agree to be bound by these Terms. If you do not agree, please do not use our services.

Eligibility

To use DocMap as a practitioner, you must be:

  • At least 18 years old and capable of entering into a legally binding agreement.
  • A licensed healthcare professional in good standing with the relevant regulatory body.

Practitioner Accounts

To create a practitioner account, you must:

  • Provide accurate, complete, and current information about your qualifications, licensing, and services.
  • Keep your login credentials confidential and secure.
  • Notify DocMap if your professional status changes (e.g. suspension, investigation, or loss of licensure).

We reserve the right to suspend or terminate accounts if false information is provided or our terms are violated.

Services Provided

DocMap is a digital platform that enables patients to submit appointment enquiries to private healthcare providers.

Practitioners may:

  • Create and manage profiles on the platform.
  • Receive and respond to patient enquiries.
  • Communicate directly with patients to arrange appointments.

Disclaimer: DocMap is not a healthcare provider. We do not offer clinical services, nor are we responsible for medical outcomes.

Practitioner Obligations

By registering with DocMap, you agree to:

  • Maintain accurate, up-to-date information about your qualifications, availability, and services.
  • Interact with patients professionally and lawfully.
  • Hold valid professional indemnity insurance.
  • Respond in a timely and appropriate manner to patient enquiries.
  • Clearly communicate your payment terms, cancellation policy, rescheduling policy, and any other relevant terms to patients.
  • Handle all appointment logistics, payments, and disputes directly with patients.
  • Comply with applicable laws and regulations, including the UK GDPR, when handling any patient data.

Profile Content and Information Use

By registering with DocMap, you consent to us:

  • Using publicly available information from your website or professional profiles (e.g. bio, services, photos, credentials) to create or enhance your DocMap profile.
  • Displaying your name, clinic name, professional services, and other relevant information to help patients discover and request your services.

You may request edits or removal of profile information at any time by contacting us at support@docmap.co.uk.

Practitioner Verification

DocMap performs verification checks during onboarding, including verification of licensing and qualifications.

However:

  • You remain responsible for maintaining your license and credentials.
  • DocMap does not guarantee patient outcomes or assume liability for services you provide.

Fees, Payments, and Cancellations

All payments, pricing, cancellations, and rescheduling are to be agreed upon and managed directly between you and the patient.

DocMap does not handle payment processing, fee collection, or enforce cancellation terms.

You are solely responsible for informing patients of your policies in advance.

Disputes and Complaints

Any disputes or misunderstandings arising from your service must be resolved directly between you and the patient.

Patients may submit complaints to DocMap. We reserve the right to take action, including profile suspension, in cases of serious concern.

Intellectual Property

DocMap retains all rights to the platform's content, design, and branding.

You grant DocMap a non-exclusive license to display your name, bio, credentials, and related information for the purposes of operating the platform and marketing your services to patients.

You may not reproduce or reuse any part of DocMap without written permission.

Third-Party Services

DocMap may integrate or refer to third-party services (e.g., booking tools, payment processors). These are governed by the third party's own terms and privacy policies.

Termination

We may suspend or terminate your account without notice if:

  • You breach these Terms.
  • We receive credible complaints regarding misconduct or unlawful activity.
  • Your professional license is revoked or lapses.

You may also request account closure at any time.

Governing Law

These Terms are governed by the laws of England and Wales. Disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales. We encourage mediation as a first step in resolving any dispute.

Changes to These Terms

We may update these Terms at any time. You will be notified of significant changes by email or platform notice. Continued use of DocMap after updates indicates your acceptance of the new terms.

Entire Agreement

These Terms, together with our Privacy Policy and Cookie Policy, represent the entire agreement between you and DocMap. They supersede any previous discussions or agreements.
