Cancellation Policy

This policy outlines cancellation terms on the DocMap platform. It covers DocMap's practitioner referral billing rules and how cancellations interact with patient–provider arrangements. Fees for appointments, late cancellations, and no-shows between patients and providers are agreed directly with the provider — DocMap does not set prices, process patient payments, or collect patient cancellation fees.

1. Practitioner Cancellations

  • Practitioners may cancel an appointment at any time without penalty, except in the case of late cancellations.
  • If a practitioner cancels within 24 hours of the scheduled appointment time, the standard commission fee still applies as if the appointment had taken place.
  • We encourage practitioners to notify both the patient and DocMap support as soon as possible in such cases to maintain trust and continuity of care.

2. Patient Cancellations

  • Patients may cancel appointments through the platform. Any cancellation fees, refunds, or rescheduling terms are set by the provider and must be agreed directly between the patient and the provider.
  • DocMap does not process patient payments or patient cancellation fees.
  • When a patient cancels an appointment, no DocMap referral commission is charged to the practitioner for that appointment.

3. Missed Appointments / No-Shows

  • If a patient does not attend an appointment, any fees or follow-up are handled directly between the patient and the provider under the provider's own terms.
  • Practitioners may report no-shows through the platform for record-keeping and follow-up. DocMap does not automatically charge patients for no-shows.

4. Exceptions

In the case of emergencies or exceptional circumstances, DocMap reserves the right to waive or adjust platform billing at its discretion. Patient–provider fee disputes remain between the patient and the provider.
