Billing Policy

For Practitioners

This Billing Policy outlines the terms of payment between you ("the Practitioner") and DocMap ("the Platform") regarding services provided for new patient referrals and platform use.

1. Fee Structure

DocMap applies a commission-based model for new patient referrals. This means:

  • A commission fee is charged only for first-time patients referred to your practice through DocMap.
  • The fee is dynamic, based on the specialty and estimated value of the referred patient to your practice.
  • In most cases, fees range between 25% and 30% of the first consultation or treatment value, but the final applied rate will be shown clearly on your practitioner dashboard and/or invoice.
  • The standard applied commission is 20% of the estimated patient value, based on specialty, service price, and treatment complexity.

2. Invoicing and Payment Cycle

  • Invoices are issued monthly, covering all new patient referrals that occurred during the previous billing cycle.
  • Invoices are sent to the registered email address associated with your DocMap account and are also accessible through your practitioner dashboard.

3. Disputes and Error Resolution

You have 7 calendar days from the date the invoice is issued to contest any errors or discrepancies.

To do so, please contact our team directly at admin@docmap.co.uk or through your dashboard's support chat.

After this period, the invoice is considered accurate and due in full.

4. Grace Period and Payment Terms

  • Payment is due upon receipt of the invoice.
  • A 15-day grace period applies from the invoice date. During this time, no late penalties will be applied.
  • If payment is not received within the grace period, DocMap reserves the right to temporarily suspend referral services until the balance is resolved.

5. Methods of Payment

DocMap accepts the following payment methods:

  • Direct debit / bank transfer
  • Credit/debit card
  • Other options as made available through the platform

Details and options are provided within your invoice and practitioner dashboard.

6. Non-Recurring Fees

  • DocMap does not charge subscription fees or setup costs.
  • You are only billed for actual, confirmed patient referrals that are documented and traceable through the platform.

7. Refunds and Adjustments

Refunds will only be issued in cases where:

  • A referred patient does not attend their appointment and no charge was levied by the clinic.
  • A dispute is lodged and upheld by DocMap following a case review.

Refund requests must be submitted during the 7-day contest period.
