Cancellation Policy

This policy outlines the cancellation terms for both practitioners and patients using the DocMap platform.

1. Practitioner Cancellations

  • Practitioners may cancel an appointment at any time without penalty, except in the case of late cancellations.
  • If a practitioner cancels within 24 hours of the scheduled appointment time, the standard commission fee still applies as if the appointment had taken place.
  • We encourage practitioners to notify both the patient and DocMap support as soon as possible in such cases to maintain trust and continuity of care.

2. Patient Cancellations

  • Patients may cancel an appointment free of charge if they do so more than 24 hours before the scheduled time.
  • If a patient cancels within 24 hours, a £25 late cancellation fee applies. This is to respect the practitioner's time and lost availability.
  • The fee is automatically processed through the platform and is non-refundable.

3. Missed Appointments / No-Shows

  • If a patient does not attend an appointment and fails to cancel in advance, the £25 cancellation fee still applies.
  • Practitioners may report no-shows through the platform to ensure appropriate billing and follow-up.

4. Compensation for Practitioners

  • If a patient cancels within 24 hours, the practitioner receives a £12.50 compensation fee to account for lost time and late notice.
  • This fee is paid by DocMap and will appear as a credit on the practitioner's next invoice.

5. Exceptions

In the case of emergencies or exceptional circumstances, DocMap reserves the right to waive or adjust cancellation fees at its discretion.
