Booking Terms and Conditions

Effective Date: From 16/02/2024

Last Updated: 04/05/2025

Introduction

Welcome to DocMap. These Booking Terms and Conditions ("Terms") govern your use of the DocMap platform to request appointments with healthcare providers ("Providers"). By using our platform, you agree to these Terms. Please read them carefully.

Booking Services

Purpose of DocMap

DocMap is a platform that connects patients with registered healthcare providers. We facilitate appointment enquiries, but DocMap is not a healthcare provider and does not offer medical advice or services.

Booking Process

To request an appointment, you must complete a booking enquiry form by providing:

  • Your name
  • Contact details
  • The service or treatment you're requesting
  • Your preferred date and time

This enquiry is then passed to the selected practitioner, who will follow up directly.

Confirmation of Booking

Appointment confirmations and communications are handled directly by the Provider. DocMap does not confirm appointments on behalf of Providers.

User Responsibilities

Accurate Information

You agree to provide accurate and up-to-date information when submitting a booking enquiry.

Not for Emergencies

DocMap must not be used for medical emergencies. If you are experiencing an emergency, contact emergency services immediately.

Eligibility

You must be at least 18 years old or have the consent of a parent or legal guardian to use the platform.

Provider Services

Verified Practitioners

DocMap independently verifies that each Provider listed is a registered professional. However, we do not employ or manage Providers. They operate independently and are solely responsible for the care they deliver.

Scope of Services

Providers may change, limit, or withdraw their services at their discretion. Any changes to your appointment or service will be communicated directly by the Provider.

Fees, Payments, Cancellations, and Rescheduling

All matters relating to:

  • Fees and payment
  • Cancellations and rescheduling
  • Refunds or missed appointments

must be resolved directly between the patient and the Provider. DocMap does not set prices, manage payments, or mediate cancellations. Providers may have their own terms—please confirm these with your chosen practitioner.

Disputes and Complaints

Any disputes arising from your interaction with a Provider must be resolved between the patient and the Provider.

If you have a complaint about a Provider, you may file it through DocMap. We will record and, where appropriate, investigate complaints and may take action in line with our professional standards policy.

Privacy and Data Security

Data Collection

DocMap collects only the basic information required to process your booking enquiry:

  • Name
  • Email
  • Phone number
  • Requested service
  • Preferred appointment date

We do not collect or store medical records or sensitive health information.

Data Sharing

Your enquiry information is shared only with the selected Provider to facilitate contact and appointment booking.

Privacy Policy

Please refer to our Privacy Policy for full details on how we handle your data.

Limitation of Liability

Platform Responsibility

DocMap provides a platform for appointment enquiries and is not responsible for the quality, outcome, or delivery of healthcare services.

No Warranty

DocMap does not guarantee the availability, accuracy, or reliability of any Provider or appointment slot.

Termination

We reserve the right to suspend or terminate access to our platform if these Terms are violated or if there is suspected abuse or fraudulent activity.

Governing Law

These Terms are governed by the laws of the United Kingdom. Any legal disputes will be subject to the exclusive jurisdiction of the UK courts.

Amendments

DocMap may update these Terms at any time. Continued use of the platform after changes are posted indicates acceptance of the revised Terms.
